FolderTamer Privacy Policy

Effective

1. The short version

  • Your files never leave your PC because of us. FolderTamer reads file names, sizes, dates and types on your computer so it can run your automations, but it never sends your files, file names, folder paths or file contents to our servers.
  • No account or sign-in. FolderTamer never asks you to create an account or log in. We only receive your name and email if you buy a license.
  • Pro licenses need a small amount of data. To activate and check a license, the app sends your license key, a hashed hardware ID, your PC’s name and your Windows version.
  • Some optional features talk to other services you choose, such as a cloud AI provider or an AI assistant you connect. Those are off unless you set them up, and they are explained in section 5.
  • We don’t sell your data, show ads, or use advertising trackers.

2. Who we are

FolderTamer is developed and run by an independent developer (“we”, “us”). We are responsible for the personal data described in this policy. This policy covers the FolderTamer desktop app for Windows and the website at foldertamer.com. You can reach us about anything in this policy, including requests about your data, at support@foldertamer.com. We answer every privacy request sent to this address.

3. Data that stays on your PC

FolderTamer does its work on your computer. To decide which automation applies to a file, it looks at that file’s name, extension, size and dates, and it may calculate a fingerprint (hash) of the file so a move or rename can be undone safely. It keeps the following on your PC only:

  • Your watched folders, automations and settings.
  • An activity history used for undo and rollback, which records file paths, what happened to each file, when, and the file’s hash.
  • Your Pro license token, encrypted with Windows’ built-in data protection so that only your Windows user account can read it.
  • A saved copy of the recipe catalog, so recipes work offline.

We have no access to any of this. You can delete it at any time: uninstalling FolderTamer and then deleting the FolderTamer folder inside your Windows %LOCALAPPDATA% folder removes all of it. If you use a Pro license, deactivate this PC first (see section 10) so it stops counting toward your device limit.

4. Data we receive

When you activate a Pro license

The app sends our licensing service:

  • Your license key.
  • A hardware ID: a one-way hash made from your PC’s hardware. It can’t be turned back into your hardware details, but it is unique to your PC, so we treat it as personal data.
  • Your PC’s name, as set in Windows (for example “DESKTOP-ALEX”). This lets you tell your activated PCs apart. It may include your name if your PC is named after you.
  • Your Windows version.

We store these together with the time of activation.

About once a week while you use Pro

The app checks that your license is still valid by sending your license key and hardware ID. We record when your PC last checked in. If the check can’t reach us, FolderTamer keeps working offline.

When the app updates its recipe catalog

When FolderTamer starts, it downloads the current list of 1-click recipes. This request contains no information about you or your files.

Every time the app or your browser contacts our servers

Like any website, our servers automatically receive your IP address, the date and time, and basic technical details such as the app or browser version. We use these logs only to keep the service running and secure, and we delete them after 30 days.

When you buy Pro

Payments are handled by Paddle. We receive your name, email address, country, what you bought and when, and the license key issued to you. We never see or store your full card or bank details. Paddle acts as the reseller (merchant of record) for your purchase, so it is responsible for the payment and tax data it collects. See Paddle’s privacy policy.

If you get FolderTamer from the Microsoft Store, Microsoft handles that download and any purchase under the Microsoft Privacy Statement.

When you contact us

If you email us, we receive your email address and whatever you include in your message.

When you visit foldertamer.com

We don’t use analytics, advertising or tracking cookies on our website.

We do not collect crash reports, usage analytics or telemetry from the desktop app.

5. Optional features that involve other services

These features are off unless you turn them on. When you use them, data goes to services you choose, not to us.

Magic Create with a cloud AI provider

By default, Magic Create builds automations on your PC without sending anything anywhere. If you choose to connect a cloud AI provider in Settings, the text you type into Magic Create, and any file details needed to answer it (such as example file names or extensions), are sent directly from your PC to that provider. They don’t pass through our servers. The provider handles that data under its own privacy policy and terms.

Connecting an AI assistant (MCP)

FolderTamer can let AI assistants on your PC, such as Claude Desktop or Cursor, use it as a tool. This connection only works from programs on the same computer: it isn’t reachable from your network or the internet, and it requires a session token that only you can copy from the app.

Once you connect an assistant, it can ask FolderTamer for your watched folders and activity history, which include folder paths and file names, and it can create automations, run sweeps and undo changes. Many assistants send what they see to their company’s cloud service. What happens to that data is covered by the assistant’s privacy policy, not ours. Only connect assistants you trust, and you can turn this feature off in Settings at any time.

Actions you create

Automations can run scripts you write or open files in other apps. FolderTamer runs these exactly as you set them up. If a script you write sends data somewhere, that is under your control, not ours.

6. Why we use data and our legal basis

If you are in the European Economic Area, the UK or Switzerland, the law requires us to tell you the legal basis for each use.

What we do Legal basis
Activate your license, check it’s valid, enforce the 3-PC limit and let you manage your PCsPerforming our contract with you
Process your purchase and deliver your license keyPerforming our contract with you
Keep purchase records for tax and accountingLegal obligation
Prevent license abuse, keep our servers secure and fix problemsOur legitimate interest in protecting the service
Answer your support requestsPerforming our contract with you, or our legitimate interest in helping you

We don’t use your data for advertising, profiling, or automated decisions that affect you.

7. Who we share data with

We don’t sell or rent your personal data. We share it only with:

  • Our web hosting provider, which stores our servers and databases on our behalf and may not use the data for anything else.
  • Our payment provider (Paddle), to process your purchase.
  • Authorities, if the law requires it, or where needed to protect our rights or someone’s safety.
  • A buyer or successor, if FolderTamer is sold or merged. This policy would continue to apply to your data.

Some of these providers may process data outside your country. When personal data from the EEA or UK is transferred to a country without an adequacy decision, we rely on safeguards such as the European Commission’s Standard Contractual Clauses.

8. How long we keep data

  • Activated PCs: while the PC is activated. After you deactivate a PC, we delete its record within 30 days.
  • License and customer details: for as long as your license exists, so you can reactivate on new PCs. You can ask us to delete them sooner (your license will stop working).
  • Purchase records: as long as tax law requires, up to 10 years.
  • Server logs: 30 days.
  • Support emails: until your request is resolved, and then for up to 2 years in case you follow up.

9. How we protect data

All communication between the app and our servers is encrypted in transit. Hardware IDs are stored only as one-way hashes, your license token is encrypted on your PC, and access to our systems is limited to the people who need it to run FolderTamer. No system is perfectly secure, but if a breach affecting your personal data happens, we will notify you and the relevant authorities as the law requires.

10. Your rights and choices

Deactivate a PC yourself: in FolderTamer, open Settings & License and deactivate the PC. This removes it from your license.

Depending on where you live, you may also have the right to access the personal data we hold about you, correct it, delete it, receive it in a portable format, restrict or object to how we use it, and withdraw any consent you gave. To make a request, email support@foldertamer.com from the address you used to buy, or include your license key so we can find your records. We will reply within one month, and we won’t charge you or treat you differently for using these rights.

If you are in the EEA, UK or Switzerland, you can also complain to your local data protection authority. If you are a California resident: we don’t sell or share your personal information for cross-context behavioral advertising, and you have the rights to know, delete and correct described above.

11. Children

FolderTamer is not directed at children under 16, and we don’t knowingly collect their personal data. If you believe a child has given us personal data, contact us and we will delete it.

12. Changes to this policy

We will update the effective date at the top of this page whenever we change this policy. If a change significantly affects how we handle your data, we will announce it on our website and, if we have your email address, by email before it takes effect.
